GENERAL RULES |
General Rules
G1 |
The Competition shall be known as the “Cheltenham Festival of Performing Arts”. |
G2 |
There is no geographical restriction for any of the Performers, except for the Young Performers’ Award. |
G3 |
No persons gaining all or a principal part of their livelihood from music, speech, drama or dancing may compete, except in the classes marked “Open” (This Rule does not apply to Conductors of Choirs). The Committee reserve the right to refuse entry to an Open Class where the performer’s experience may be insufficient. |
G4 |
The management of these competitions and all matters relating thereto shall be in the hands of a Chairman and a Committee with a Secretary and Treasurer, whose decision on any matter shall be final. |
G5 |
In the event of there not being a sufficient number of entries in any Class, or in the opinion of the judges the competitors do not show sufficient merit, the Committee reserves to itself the power to withdraw any or all of the awards. |
G6 |
Time limits must be strictly adhered to and competitors who over-run will be penalised with the loss of one mark per minute or part of a minute, and will run the risk of not receiving a mark. Time limits do not include any introduction to the piece. |
G7 |
In the event of there being fewer than 5 entries in a Class, the Committee reserves to itself the power to cancel that Class. In that event, entry fees will be refunded. |
G8 |
All performers attending any kind of school and who enter classes that take place during the school day must have approval from the head teacher, otherwise they will be denied entry to the class on the day. |
G9 |
Performers should ensure that they are dressed appropriately. The well-groomed personal appearance of competitors will be taken into account when adjudicating performances and awarding marks. |
G10 |
Certificates with the Adjudicator’s comments will be available at the completion of each class. For two months after the end of the Festival, certificates not collected during the Festival may be requested from the relevant Section Secretary and will be sent by post on receipt of a payment of £5. |
G11 |
(a) No cup or trophy will be awarded for marks under 85. |
G12 |
The adjudicator’s decision is final. |
G13 |
All entries must be made online or be sent to the respective Section Secretary on or before 1st February. Entries received after the closing date will only be accepted at the discretion of the Section Secretary. |
G14 |
(a) In the case of numerous entries, the Committee reserves the right to divide any class which may be considered too large for adjudication. |
G15 |
Age limit is reckoned as on 31st August in the year preceding the Festival and this will be strictly observed. All performers under 19 years must include their date of birth at the time of entry. Entry Forms without the competitor’s age (under 19 years) will not be accepted. |
G16 |
The Committee regrets that Fees cannot be refunded under any circumstances other than Rule G7, or in the event that a Headteacher’s Approval has been refused. |
G17 |
Performers are urged to ensure they have entered the correct Class on the entry form, as transferring Classes cannot be guaranteed, and will not be permitted after the commencement of the Festival. |
G18 |
No photography, sound recording or video recording of any kind is permitted within the Town Hall, except by personnel approved by the Festival Committee. This is in line with our Child Protection Policy, copyright law and the licence under which we hire the Town Hall. |
G19 |
Performers in “Own Choice” Classes may not offer items with which they have already won prizes in past Cheltenham Festivals. |
G20 |
Performers may not enter more than once in the same Class unless specified, nor may they enter the same piece in more than one Class. |
G21 |
Performers should perform in the order given in the programme unless involved elsewhere, in which case they must notify the steward. Those not answering to their names when called will be recalled at the end of the Class, however the adjudication will not be delayed. |
G22 |
The Festival reserves the right to commence any class up to 15 minutes earlier than the published time. |
G23 |
Performers who have entered classes which overlap, should first attend the class in which they appear earliest in the order. In the event of any difficulty, the Adjudicator’s Steward should be consulted. |
G24 |
The Use of Recorded Music at the Festival. This Festival is affiliated to the British Federation of Festivals and participates in its Group Licence to cover payment of fees for the use of recorded music at its event. Teachers using tracks created from commercial recordings are advised that they should themselves seek permission to re-record from the companies concerned as the Festival cannot take responsibility for this. |
G25 |
Cups and trophies must be returned clean and in good condition to Don Browning Trophies, 4 St George’s Street, Cheltenham GL50 4AF, no later than the end of March prior to the next Festival. |

CHILD PROTECTION POLICY STATEMENT
Cheltenham Festival of Performing Arts believes that no child or young person should ever experience abuse of any kind. We have a responsibility to promote the welfare of all children and young people and practise in a way that protects them.
CFPA recognises that the welfare of children is paramount and that, regardless of age, disability, gender, racial heritage, religious belief, sexual orientation or identity, they have the right to equal protection from all types of harm or abuse. Furthermore, CFPA believes that some children and young people are additionally vulnerable because of their level of dependency or their communication needs and that working in partnership with their parents, teachers and carers is essential in guaranteeing their welfare.
CFPA will seek to keep children and young people safe by practising a range of measures to ensure a safe environment at its Festivals for children and young people. These measures are fully set out in CFPA’s Child Protection Policy which can be seen in full on CFPA’s website.
CREATING A SAFE FESTIVAL
The Cheltenham Festival of Performing Arts implements the following procedures to create a safe Festival for everyone:
- A designated Festival Safeguarding Officer (FSO) is appointed to oversee all aspects of safeguarding.
- Best practice advice, support and training is given to all Festival staff and volunteers, including clear reporting procedures for anyone with a concern about a child.
- Appropriate recruitment and/or induction procedures are applied for all Festival staff and volunteers.
- All Festival stewards wear an official identification lanyard and teachers/parents/guardians/carers are asked to report all incidents of any nature to anyone wearing a lanyard. All reported incidents will be handled in accordance with child protection best practice advice and, if appropriate, in a quiet area/room where concerns can be expressed in private.
- For the duration of the Festival all teachers/parents/guardians/carers are responsible for the continuous care and supervision of their own children/pupils/vulnerable adults. If they are unable to attend personally, they must delegate their responsibilities to an identified adult and ensure that their children/pupils/vulnerable adults are aware of the identity and name of the person responsible for their care. This includes supervision throughout all Festival venues, performance, rehearsal and changing areas.
- No unauthorised photography or video, digital or tape recording of any performance is allowed. If parents/guardians/carers do not wish photos or video recording to be taken of any child in their care, then the responsible adult attending should ensure that their child/pupil is not included in officially authorised photos.
- If any child or vulnerable adult has a specific need in order to take part in the Festival, we ask the responsible teacher/parent/guardian/carer to contact the Festival prior to arrival. The Festival will seek, wherever possible, to meet the identified need, but must be informed beforehand in order to prepare support – or to advise that help cannot be provided on this occasion.
- By completing and submitting the entry form all parents / guardians / carers and teachers of entrants under 18 (or vulnerable adults of any age) confirm that they give (or have obtained, or will obtain) all necessary consents for the entrants to take part in the Festival.
